About the role
You will deliver a consistent, high-quality placement experience for students by ensuring national coordination, compliance, continuous improvement, and strong stakeholder engagement across the university's national footprint.
Key Responsibilities
- Lead national administration of student clinical and practicum placements, ensuring consistency, efficiency, compliance, and alignment with course and accreditation requirements.
- Provide high-level guidance and support to placement administration staff, fostering a collaborative, high-performing team culture across campuses.
- Supervise, coach, and develop team members, including performance planning and ongoing capability building.
- Manage team workload and priorities to ensure timely, accurate delivery of placement activities.
- Build and maintain strong relationships with students, academic staff, government health agencies, and clinical partners.
- Collaborate closely with academic teams to ensure alignment between placement operations and curriculum needs.
- Provide expert advice on placement administration to internal stakeholders.
- Liaise with external partners to establish and maintain placement agreements and onboarding processes.
- Develop and deliver student briefings and orientation materials related to placements.
- Act as a key escalation point for placement queries, ensuring clear, consistent communication.
- Oversee end-to-end placement administration including requests, scheduling, onboarding, offers, and allocations using systems.
- Monitor and ensure compliance with mandatory student documentation in line with industry and regulatory standards.
- Maintain accurate placement records and ensure data integrity across campuses.
- Develop and standardise policies, procedures, and guidelines to support consistent national practices.
- Manage and monitor placement agreements and contracts, ensuring placements proceed only with valid documentation in place.
- Track contract status and proactively mitigate compliance risks in line with AHPRA, ANMAC, and TEQSA requirements.
- Support financial planning through placement cost forecasting in collaboration with finance stakeholders.
- Oversee invoice processing and reconciliation to ensure accurate and timely payments to partners.
- Drive continuous improvement by enhancing processes, systems, and stakeholder experiences.
- Identify opportunities to streamline operations and improve service delivery.
- Maintain national processes and resources for compliance, onboarding, and documentation verification.
- Monitor data quality and prepare reports on placement activity, performance, and outcomes.
Qualifications, skills & experience
- A degree with relevant experience in administrative management; or extensive experience and demonstrated expertise in practicum placement coordination; or broad experience in administrative roles; or an equivalent combination of relevant experience and education/training.
- Previous people management experience, leading or supervising a diverse team in a complex environment.
- Demonstrated experience in coordinating complex administrative processes and systems, preferably in a higher education or health-related setting.
- Demonstrated experience in leading, supervising or coordinating a team.
- Strong communication and interpersonal skills, including the ability to liaise effectively with internal and external stakeholders.
- Proven ability to work both independently and as part of a team in a dynamic and fast-paced environment.
- Proficiency in Microsoft Office and experience using placement or student management systems.
- Experience in financial administration including processing invoices, monitoring expenditure or contributing to budget planning
